The office manager supports other team members and maintains an efficient office environment.

Responsibilities Include:

  • Open and close the office daily and greet visitors in a professional manner
  • Maintain office operations, including a neat, organized and well stocked office
  • Provide visitors with information and direct them accordingly
  • Process, sort, and route incoming and outgoing mail
  • Monitor, order and manage inventory of office and break room supplies
  • Partner with Accounting Manager in reviewing and managing office expense reports
  • Communicate and interface with outside IT firm for technical and inventory needs
  • Communicate and interface with building management regarding maintenance needs and ensuring timely resolution of issues and minimal disruption to office operations
  • Oversee employee onboarding
  • Coordinate employee benefit programs, such as Health Savings Accounts (HSA) and 401(k) enrollment & contributions
  • Assist in the preparation of regularly scheduled meetings
  • Manage agency event logistics
  • Maintain and manage client contact list and mailings, including gifts
  • Manage the internal Culture Committee to ensure the organization of monthly celebrations, internal social events, and miscellaneous activities
  • Support CEO and Advisory Team in light administrative functions, including scheduling, travel, logistics and reservations
  • Support CEO with light calendar management and meeting scheduling
  • Perform other administrative support tasks
  • Other duties as assigned

  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality
  • Excellent and evident communication skills, written and verbal
  • Excellent organizational skills, ability to prioritize, and comfortable working independently
  • Exhibits ability to manage projects from start to finish with Supervisor support
  • Detail oriented
  • Expert ability to move from task to task
  • Ability to manage junior personnel
  • Actively demonstrates dedication to work
  • High competency level on computer and software skills compatible with job responsibilities
  • Professional demeanor within and outside office while conducting agency business
  • 3-5 years of relevant, in-office work experience
